Syspeace AB ("Syspeace") safeguards your privacy. This privacy policy describes your right to privacy and our commitment to protecting your personal information.

Syspeace is a Swedish company. Syspeace's head office is located in Stockholm, Sweden, and Syspeace follows European data protection legislation, including the General Data Protection Regulation (GDPR).

This privacy policy applies to all Syspeace-related business processes and websites, domains, desktop and server software, and cloud services under the Syspeace brand. Service-specific supplements are found in the Terms of Use or agreements for processing personal data for the service in question.

This privacy policy contains information about the personal data processing performed by Syspeace where Syspeace determines the purpose and means of the processing (Syspeace acts as personal data controller). It also contains information about personal data processing that Syspeace performs on behalf of our customers, in accordance with their instructions (the customer is responsible for the personal data, and Syspeace is a personal data processor).

People whose personal data we process

Syspeace processes personal information about contact persons or program users linked to our customers, and about people who are potential customers and who contact us via Syspeace's website or other channels.

We also process personal data on behalf of our customers, where the customer is responsible for that data.

What personal data we process

Syspeace accounts are business accounts: a Syspeace account is registered with a company name or a person's name, and a work email address. Customers only provide the information a Syspeace account actually requires — there is no separate profile of additional personal details (home address, personal phone number, and similar fields are not collected). Syspeace can process the following personal information:

  • The name or company name and work email address associated with a Syspeace account.
  • Feedback, comments, or questions about Syspeace or its products and services.
  • Content you have uploaded on request during a support ticket.
  • Unique user information such as login ID, username, and password.
  • Financial information such as tokenized payment details, processed by our payment provider.
  • Which emails from Syspeace you open, and when.

Why we process personal information

In order to maintain our customer relationships and fulfill our commitments, Syspeace needs information about you in your role as a customer's contact person or as a user of the service. The purposes of processing this personal data include:

  1. Conducting sales and fulfilling orders for the customer.
  2. Preparing requested quotes for products and services.
  3. Performing deliveries in accordance with agreements concluded with you or the customer.
  4. Offering support to those who use our products and services.
  5. Improving and developing the quality, function, and user experience of our products, services, and website.
  6. Discovering, combating, and preventing security threats, and performing maintenance and troubleshooting.
  7. Preventing our products and services from being abused.
  8. Processing orders, invoicing, payment, and other financial follow-up.
  9. Registering the email address and company or person name for a Syspeace account.

The legal basis for processing personal data for these purposes is primarily that Syspeace has a legitimate interest in processing your personal data for business purposes, in a manner that does not conflict with your personal rights or freedoms. Where account registration itself is concerned, the legal basis is your consent.

How we collect your personal information

Syspeace usually collects personal data directly from you, or from other people connected to our customer — for example, a manager or colleague. If your employer acquires Syspeace's products or services via a certified partner, we may obtain information about you from that partner.

How we share your personal information

Syspeace may disclose your personal data to an external third party in the following situations:

Business partners. Syspeace may share your personal information with our partners where necessary for business-related reasons and in accordance with applicable data protection legislation — for example, where you purchase a Syspeace product or service through one of our certified partners.

Public authorities. The police and other authorities may require access to personal data from Syspeace. In these cases, Syspeace only provides the information if there is a court decision or similar legal basis to do so.

Your rights

You can choose not to receive marketing communications from Syspeace by following the unsubscribe instructions in any marketing communication, updating your Syspeace account settings, or contacting us directly. Even if you opt out of marketing, you may still receive administrative communications such as order confirmations and account-related notices.

You have the right to receive an overview of the personal data we hold about you, and may be entitled to data portability. You also have the right to request that Syspeace correct inaccurate personal information, request that your personal data be erased, request that processing of your personal data be limited, and object to the processing of your personal data.

Security for personal data and storage

Syspeace takes the trust that you and our customers place in us seriously. We apply reasonable and appropriate organizational, technical, and physical measures to protect the information we collect and process, taking into account the type of personal data and the risk involved.

Syspeace only retains your personal data for as long as needed for the stated purpose, taking into account that we should be able to answer questions, resolve problems, and fulfill legal obligations. When we no longer need personal data we have collected, we delete it.

Changes to this policy

If we change this privacy policy, we will publish the amended policy here with the date of the change. In the event of significant changes, we may also notify you by e-mail or by publishing a notice on our website before the change takes effect.
